Associate Production Manager

Dates of employment: October 30, 2017 – February 2, 2018
Seasonal independent contractor position
Reports to: Director of Production

Seeking skilled associate production managers with excellent organizational skills and with sound & lighting competency. APM will advance shows in an assigned venue and serve as Stage Manager and primary technician for venue during the festival.

Responsibilities include:

  • Attend festival kick-off all-staff meeting (week of 1/8/18, evening)
  • Advance shows as assigned
  • Liaise with talent
  • Coordinate with other venue staff
  • Stage manage shows
  • Assist with hiring show staff
  • Assist with staff training
  • Make technical schedules for assigned venues
  • File performance reports
  • Act as point person for venues as assigned
  • Troubleshoot performance problems as they arise
  • Complete post-festival wrap report by February 2

Qualifications/Skills

  • 3+ years of stage management or production management
  • Audio/Technical Knowledge (Can set-up and operate a sound board)
  • Awesome communication skills
  • Ability to work under pressure, often with competing priorities
  • Ability to be diplomatic during high stress conflicts
  • Detail oriented
  • Self-Motivated
  • Computer Savvy
  • Experienced using Google Docs
  • Sense of Humor Required

Hospitality Manager

Dates of employment: December 11, 2017 – February 2, 2018
Part time until Jan 7, 2018; full time Jan 8 – Feb 2, 2018
Seasonal independent contractor position
Reports to: Festival founders

Seeking candidates to manage all backstage artist hospitality, SF Sketchfest Hospitality Lounge, and provide party/events assistance as needed.

Responsibilities include:

Pre-production (Dec 11 – Jan 7; part time, holiday breaks)

  • Communicate with Sponsorship/Events staff; hotel staff for updates on Hospitality Suite
  • Receive and catalog artist riders/special needs/requests
  • Coordinate with Producers to plan backstage hospitality for shows that require it
  • With Producer assistance, create and manage a hospitality delivery schedule for every day of the festival and share with SFSF staff as needed
  • Liaise with and oversee delivery of any sponsored product, food and beverage to be stored at Gateway Theatre
  • Assist with Gateway Theatre load-in, storage, and organization of in-kind sponsored food & bev

Production (Jan 8 – Feb 2; full time)

  • Ongoing responsibilities re: pre-production (as listed above)
  • Oversee Hospitality Assistant and Lounge Assistant
  • Delegate scheduling/purchases/delivery etc. to Hospitality Assistant
  • Work within Hospitality Budget to purchase (and deliver as needed) inventory both to Hospitality Suite and Show Venues
  • Keep food/bev storage organized, tidy, and manage inventory so minimal product is left over at end of festival
  • Delegate and supervise Lounge Assistant whose tasks will include: – welcoming talent – inventory/restocking – hotel administration liaison – festival badge creation and management
  • Work closely with Sponsorship/Events staff to provide any additional support/for parties/events if needed
  • Liaison between Artists and Artist Services Director/Producers re: concerns/issues as needed
  • Work with Producers and Artist Services Director to arrange artist tickets/comps as appropriate
  • On-site presence to assist talent backstage at shows as needed
  • Post-festival summation report detailing work done during festival

Hospitality Assistant

Dates of employment: January 4, 2018 – February 2, 2018
Seasonal independent contractor position
Reports to: Hospitality Manager

Seeking candidates to manage all backstage artist hospitality, SF Sketchfest Hospitality Lounge, and provide party/events assistance as needed.

Responsibilities include:

Pre-production (Jan 4 – Jan 10; part time)

  • Phone or in-person meeting(s) with Hospitality Manager to discuss scheduling and strategize efficiency of delivery, setup, cleanup for festival run
  • Attend All-Staff Production/Welcome Meeting
  • Venue walkthroughs as needed
  • Begin purchase/pickup process for first weekend hospitality

Production (Jan 11 – Feb 2; part time, majority weekends (Fri/Sat/Sun))

  • Work within Hospitality Budget to purchase (and deliver as needed) inventory to Hospitality Suite and Show and Event Venues
  • On-site presence to assist talent backstage at shows as needed
  • General assistance and support of Hospitality Manager as needed
  • Post-festival summation report detailing work done during festival

Sponsorship and Events Consultant

Dates of employment: immediately – February 2, 2018
Reports to: Festival founders

Seeking candidates to secure new and returning festival sponsorships, and manage all private festival events and parties during festival.

Responsibilities include:

Sponsorship Solicitation/Management (immediately – November 30; part time)

  • Work in partnership with other sponsorship consultants to secure new and returning SF Sketchfest official sponsors
  • Work with producers to establish weekly goals
  • Participate in organized weekly phone calls with producers
  • Utilize existing sponsor contacts to engage new sponsorship levels
  • Reach out to potential new sponsors
  • Finalize festival event location, food and beverage agreements
  • Finalize venue and product donation details for Festival Hospitality Lounge
  • Work with producers to create sponsor packages
  • Create specific presentation decks for individual sponsor prospects

Events Management (December 1 – February 2)

  • Continue sponsorship management and activation participation as listed above
  • Solicit venue and product donations for festival special events, parties and receptions
  • Develop and maintain Special Events Calendar
  • Help secure venues for private festival parties and events
  • Oversee, plan and manage events on-site during the festival (approximately 2-3 events/week for three weeks)
  • Act as main contact for all Festival event and party venues and vendors
  • Oversee guest lists for all Festival parties

Transportation Coordinator

Reports to: Artist Services Director and Festival founders

Seeking candidates to manage all festival-related transportation for guests of SF Sketchfest.

Responsibilities include:

Pre-production (Nov 20 – Jan 7)

  • Receive basic training of festival database
  • Consult w/Festival Manager/Producers on systems methods for 2018 festival
  • Build and maintain master transportation schedule tracking all transportation for entire festival
  • Oversee Assistant Transportation Coordinator
  • Communicate with Artist Services Director and AS Coordinator to track all artist incoming/outgoing travel
  • Recruitment/screening/hiring of potential volunteer and paid drivers (eg. valid driver’s license, insurance, availability, personality conducive to the position)
  • Require and maintain up-to-date paperwork re: driver licenses; insurance
  • Discuss Hospitality delivery needs with AS team/potentially help coordinate deliveries

Production (Jan 8 – Feb 2)

  • Ongoing responsibilities re: pre-production (as listed above)
  • Work with Artist Services Director/Producers to procure rental vehicles as needed
  • Oversee Transpo Assistant; oversee fleet of drivers
  • Daily (advance) scheduling of all talent ground transportation (hotels, airport, performance venues, etc): Assigning and managing paid and volunteer drivers
  • With Artist Services Director and Coordinator, maintain list of talent airline arrivals/departures and coordinate transportation to/from airports
  • Work with Artist Services and PR dept. to coordinate television, radio, etc. appearances by talent
  • Coordinate with Technical Director to schedule rehearsal for talent
  • Confirm talent arrival/departure from hotels/airports
  • With Artist Services Director, distributes and collects expense report sheet to drivers for transportation (tolls, parking, car services, etc).
  • Post-festival summation report detailing work done during festival

  • Communicate with Artist Services Director and AS Coordinator to track all artist incoming/outgoing travel
